Salesforce dashboards are powerful tools for keeping a pulse on the organization. They can be utilized to highlight the organization’s key performance indicators (KPI) and provide an overview of operational data that enables analysts and executives to monitor trends, identify variances, answer questions, and execute on high-level decisions.
One of the core components of the Salesforce Service Cloud, the Analytics Dashboard, is a powerful tool that gives users at all levels the view into their environment that they need. From managers looking at department-level performance to field representatives checking on campaign progress to administrators keeping tabs on compliance, analytics dashboards serve as an important business tool for any company.
Set Up Dynamic Dashboards in Salesforce Classic
- Create folders accessible to all dashboard viewers to store dynamic dashboards and corresponding component source reports.
- From the Dashboards tab, create a new dashboard or editan existing one.
- Click the button next to the View dashboard as field.Note If you don’t have “Manage Dynamic Dashboards” permission, just entera running user and skip to the final step. Enter “*” to see all available users.
- Select Run as logged-in user.
- Optionally, select Let authorized users change running user to enable thosewith permission to change the running user on the dashboard view page.Users with “View My Team’s Dashboards” can view the dashboard as any user below them in the role hierarchy.Users with “View All Data” can edit the dashboard and view it as any user in their organization.Users with “Enable Other User’s Dashboard” can edit the dashboard if they have access to it, even if they aren’t the running user and don’t have “View All Data.”
- Users with “View My Team’s Dashboards” can view the dashboard as any user below them in the role hierarchy.
- Users with “View All Data” can edit the dashboard and view it as any user in their organization.
- Users with “Enable Other User’s Dashboard” can edit the dashboard if they have access to it, even if they aren’t the running user and don’t have “View All Data.”
- Click OK.
- In the View dashboard as field, enter a running user.
- Save your dashboard.
- Set the appropriate Show option onthe report run page. For example, if you choose “MyTeam’s Opportunities,” each dynamic dashboard viewer can seeall opportunities for the team.
- Open the dashboard you want to make dynamic and click Edit.
- Click the View dashboard as arrow.
- Select either Run as specified user or Run as logged-in user.
- Click OK.
- Close and save the dashboard.
Create the source report
First, you have to create the source report you will be using in the dashboard.
- Click the Reports tab, click New Report, and select the report type. Click Continue.
- Click Filters and edit the standard filters according to your needs:
- By clicking Outline, you can group rows.
- You can then select which columns you want to include in your report.
- Click Save, name your report and accept the auto-generated unique name.
- Click Run and see what your report looks like.
Dynamic Dashboards in Salesforce
There is a difference between Normal Salesforce Dashboard and Dynamic Dashboards. In our previous salesforce Tutorial we have learned about how to create Salesforce Dashboards. In this Salesforce Training Tutorial we are going to learn about Dynamic Dashboards in Salesforce.com.
Dynamic Dashboards in salesforce are Created to provide security settings for the dashboards in salesforce.com. We may have a requirement in an organization to “view all data” by every user in an organization according to their access we have to select Run as Logged-in User. There are two setting option in Dashboards.
- Run as specified User.
- Run as Logged-in User.
Run as specified User :- When we select this option in dashboard , then the dashboard will b visible to according to the settings of that specified user.
Run as Logged-in User :- When the dashboard settings are made to Run as Logged-in User, then the Dynamics Dashboard runs according to the settings of that user viewing the dashboard.
Setting up dynamic dashboards in Salesforce.
Dynamic dashboards in Salesforce displays set of metrics that we want across all levels of your organization. Enterprise Editions can use five dynamic dashboards and Unlimited edition can use ten dashboards.
Creating dynamic dashboards in salesforce.
- Go to dashboards Tab=> Go to Dashboards list.
- Now the Salesforce Dashboard and go to Actions=>Edit.
- Click on view dashboards as fields option which is at right.
- Select Run as logged-in user and check let authorized users change running user.
- Select OK.
Successfully we have created Dynamic Dashboards in Salesforce.
Create the Dashboard
Now that you’ve created your report, you can go ahead and visualize it using a dashboard component.
- You can launch the Dashboard Builder directly from the Dashboards tab; all you have to do is click the New Dashboard button.
- Then, name your dashboard, enter a description, and click Create.
- To insert a component onto your dashboard, click the + Component button on the menu. To add a filter, click + Filter.
- A window will open, and you will have to select the report you’ve just created. Click Select.
- From Add Component, select your desired display. You can also give a subtitle and footer to the component.
Note: Each component shows data from one report and you can’t choose joined reports or historical trend reports.
When selecting the component type, there are multiple types of charts to choose from:
- You can use a gauge when you have a single value that you want to show within a range of custom values
- You can use a metric when you have one key value to display
- You can use a table to show a set of report data in column form.
- Click Add and then, if necessary, you can resize your dashboard component by clicking it, then dragging the corners and sides.
- Click Save and then click Done. Congratulations! You’ve just created your first Lightning Experience Dashboard!
Steps to set up a Dynamic Dashboard in Salesforce:
- From the Dashboards tab, create a new dashboard or edit an existing one.
- Open the Properties menu by clicking the gear icon.
- Under View Dashboard As, select who your users will view the dashboard as.
- From the Properties window, click Save. Then, from the Dashboard Builder, click Save again.
- When your dashboard is open, the data seen will be filtered according to what you defined previously in Step 3.
